COM Promotion & Tenure Assistance

General Information and Tips

  • P&T Database:
    • https://PromotionTenure.uams.edu
    • Most file types are accepted – PDF’s are encouraged
    • There is no need to submit a paper packet but ensure that you keep back-up copies of all documents on your computer or external drive.
  • Number of Publications:
    • For Basic Science, Clinical Science, and Clinical Educator requests for promotion to Associate Professor, upload five (5) of your most meritorious reprints into the publications folder of your electronic packet.
    • For Basic Science, Clinical Science, and Clinical Educator requests for promotion to Professor, upload ten (10) of your most meritorious reprints (particularly those since your last promotion) into the publications folder of your electronic packet.
    • Clinical Attendings are encouraged to submit scholarly publications at both the Professor and Associate Professor level although the Promotion and Tenure document does not require scholarly effort – though it is encouraged.
  • Letters of Recommendation:
    • Every required LOR (internal and external) MUST BE ACCOMPANIED BY A COMPLETED REFEREE FORM.
    • The Department Chair should solicit letters of recommendation for the candidate within the P&T system.
    • Letters of recommendation and referee forms must be returned/completed via the P&T system.
    • For Clinical Educators, Clinical Scientists, and Basic Scientists, all three (3) letters of recommendation must be written by faculty outside UAMS.
    • For Clinical Attendings being promoted to Associate Professor only, all three (3) letters of recommendation can be written by faculty inside UAMS.
    • For Clinical Attendings being promoted to Professor, at least one (1) of your letters of recommendation needs to be from faculty outside UAMS.
    • The person writing the recommendation should hold the same or higher academic rank than that being requested. Faculty requesting promotion to Associate Professor should request letters primarily from Professors, although having an Associate Professor letter writer is acceptable. Faculty requesting promotion to Professor should request letters from full Professors.
    • A minimum of three (3) letters are required and should be obtained from recognized national authorities who have not been involved in previous training or employment of the candidate. (See below referee form for additional exclusionary criteria for Required Letter of Recommendation authors.)
    • The referee form for all required Letters of Recommendation must be filled out by each letter writer and uploaded to the Promotion and Tenure database. In order for the letter to count towards the required three (3), the answers to questions 1-3 must be “No”. If the letter writer answers “Yes” to questions 4-5, they must provide more information so that the committee can determine if the LOR will count towards the required three.
    • All LORs must be on the letter writer’s letterhead with either an electronic scanned signature or a regular “wet” signature.
    • If you are requesting promotion in a secondary appointment as well, you do NOT need additional letters of recommendation, just a letter from the Chair of your secondary department.
  • Getting Started:
    • Review the 2020 P&T guidelines for the requirements of your pathway and requested rank. See the P&T Guidelines here
  • Trainings:
    • Attend a P&T faculty forum and database training. See the current schedule https://faculty.uams.edu/development/pt/com/
  • Documentation:
    • Less is often more. When possible summarize your activities.
    • Label your documents clearly before uploading them into the electronic database. This serves as a sort of table of contents within the folders.
    • Do not overwhelm your reviewer with too many documents in each folder. It is recommended that each folder contain a maximum of 5-10 documents.

Within the UAMS College of Medicine’s Promotion and Tenure system, 2 types of letters may be found in the P&T packet- Required Letters and Support Letters.

1. REQUIRED LETTERS of Recommendation are letters which review the candidate’s work to determine if they meet the criteria established in our pathway for consideration for promotion.  These letters must come from reviewers who have no conflict of interest or vested interest in the candidate’s outcome.

2. SUPPORT LETTERS may come from individuals who personally know the candidate and comment specifically on their expertise in their field.

 If the Letter author answers “Yes” to question 1,2, or 3 – their letter cannot count as a required letter for the candidate’s packet but may serve as a support letter. 

  1. Has the candidate been a student, trainee, mentee, or employee with whom you had a direct or significant role in their professional development?
  2. Is the candidate a family member, close friend, close colleague (i.e. in the same department/division), or former partner?
  3. In the opinion of the letter writer, does a conflict of interest exist because of a previous collaboration?
  4. Is the candidate a co-investigator on a funded research project now and/or within the past 3 years? (exceptions are given to very large multi-institutional research studies/projects where investigators have a very distant relationship)
  5. Has the letter writer co-authored on a publication with the candidate in the last 3 years that represents a conflict of interest in the opinion of the letter writer? (exceptions are given to very large research studies/projects where co-authors have a very distant relationship)

*If you answered “Yes” to question 4 or 5.  Please provide further details regarding your relationship to candidate and your ability to review this candidate without bias.*

2. Decide who your letter writers will be and give their contact information to your Department Chair and administrator so they can request the LORs from within the system
3. Update your CV and write your Summary of Major Activities so these can be sent with the LOR requests
4. Request your patient satisfaction scores (if clinical)
March 20261. Sign up for the COM P&T Forum
2. Request permission to view other faculty packets, view the P&T sample packet and templates in the database
3. Complete any previous months’ tasks
April 20261. Attend COM P&T Forum (occurred April 7th)
2. Begin writing your section summaries
3. Complete any previous months’ tasks
May 20261. Request FTE, RVUs from Department/Division admins
2. Choose which publications you will upload (full PDFs from PubMed with all images/appendices/bibliography)
3. Complete any previous months’ tasks
June 20261. Gather any other letters of support that you want in your packet (students, staff, mentees/mentors, patients, etc).
2. Make any changes that your Departmental P&T committee recommends

July 20261. Organize documents in packet, make sure formatting is consistent
2. Make charts and graphs from data where possible
3. Update CV if any changes have occurred (publications, grants, awards, etc)
4. Follow up on required LORs and make sure the letters are in process or uploaded

August 20261. Continue writing/editing: ask a trusted person to read over all documents you have written to find any mistakes

September 20261. Upload all documents with latest versions (delete previous versions if needed)
2. Follow up with Department Chair/Admin to make sure the following documents are uploaded: Chair LOR, Dept P&T Committee LOR, Required LORs
